The department dashboard on the wall screen

Overtime, absence and training sit in the time and attendance system and in HR's spreadsheets. In Muvia they become a dashboard that runs on its own on the department's screen, refreshed every minute, with the full analysis behind it for anyone who wants to dig in.

Illustrative scenario: it describes a typical case, not a customer project.

If a department's numbers live in a file, the department never sees them.

Overtime hours, absence and training get looked at month end, in a report HR prepares for management. The people on the floor never see them, and a department piling up overtime notices when the fatigue is already showing.

Putting the same numbers on a screen, aggregated by department and refreshed on their own, makes workload something people talk about while it is happening.

Who it's for
HR leadership and HR business partners, department and site managers; management for the overall picture.
Clock-ins from the time and attendance system on SFTP, headcount from the HR system through a REST API and training from SharePoint flow into Muvia; out come a dashboard in screen mode, an analysis with filters and annotations, an overtime alarm and a monthly report.

What you get

Everyone sees the same numbers
The team, the department head and management look at the same dashboard, not three versions of the same file.
Workload shows early
A department piling up overtime appears on the screen in the week it happens.
Nobody has to update it
The screen reloads itself on the latest copy of the data: no files to export and pin up.
Aggregated by design
The screen's dataset holds department totals only: individuals never appear.

How it is built in Muvia

  1. 1

    Connect attendance and headcount

The time and attendance system's SFTP folder is read on a schedule and each new file is added to the rows already loaded. Headcount comes from a REST API, training from SharePoint.

  2. 2

    Aggregate by department

A query adds up overtime, absence and training hours by department and day and relates them to headcount. The dataset holds no names: the screen shows only totals and rates.

  3. 3

    Build the dashboard

Overtime hours this week and this month, absence rate, training hours per person against target, overtime by department over time and an absence heatmap.

  4. 4

    Put it on the screen

Screen mode opens the dashboard full screen, with no menus, and reloads it every minute: a TV with a browser is enough, and nobody has to sit at a PC.

  5. 5

    Analyse behind the screen

The same series go into an analysis for those who need to understand: filters by site and department, conditions on overtime, annotations on the days that matter.

The data it needs
  • Clock-ins, overtime and absence by department, from the time and attendance system's files on SFTP
  • Headcount by department and site from the HR system, read through a REST API
  • Training hours completed and the target per person, from a SharePoint list
  • Department aggregates only: no names and no personal data on the screen
